  • Understand that serving our Service Centers is the top priority, and perform all duties and work accordingly.
  • Perform all mailroom services, keeping mailroom neat, orderly and running efficiently.
  • Distribute daily U.S. Mail. Twice each day, both P.O. box and street mail is received. Sort and distribute mail to everyone at the Home Office promptly after receipt. Prepare and post mail in a timely manner for outgoing afternoon pick up.
  • Fill orders received from Service Centers daily. Orders should be shipped same day as received.
  • Run copies of in-house forms, and pad as necessary, and company manuals maintaining ample supply so there is never a problem of running out. Use of copy machine, paddy wagon, and high volume cutter (for making sheets into smaller pads.) This also includes putting together “New Hire” packets, manuals and Termite Codebooks. Inventory needs to be maintained so forms are always immediately available. Backlog should be maintained as well. Requires good organizational skills.
  • Perform monthly inventory the first working day of each month on items in mailroom/warehouse, and supply to Accounting Department.
  • Box/wrap all items in a timely manner for daily UPS shipping. Enter items in computer to originate shipping labels; follow up on any missing packages; assist others as necessary with shipping needs.
  • Receive all goods shipped into warehouse, and properly distribute or store in warehouse, notifying appropriate person when shipments are received. Provide receiver to Accounting Department and contact the person who placed the order letting them know it has been received. Requires use of forklift and good organizational skills.
  • Sort Q.A. cards and distribute as instructed same day as received.
  • With approval of Office Manager, order supplies as needed, including but not limited to copy paper, both Home Office and Service Center stationary, UPS and Fed Ex shipping supplies, etc.
  • Keep warehouse neat and orderly. Make sure all orders received are properly put away and proper department notified. Office Manager must be notified of any “new item” and any unclaimed shipments. Keep entire area neat and clean, including sweeping on a weekly basis. Rotate stock. With Office Manager approval, discard outdated stock as directed.
  • Keep track of calendars for various employees working off-site. Ship items to them daily or weekly, depending upon direction and requests.
  • Maintain equipment in mailroom and warehouse by calling for maintenance, service, etc., when required. Must be pro-active.
  • Ensure that courier bags are emptied each morning, and that bags are shipped out each night. Fill courier bags each night with data to be sent to Service Centers. Add bags as required. Have completed bags in storage area in a timely manner to be picked up by courier. Communicate with Service Centers if more than one bag or any box is sent on any given night. Inform Termite Processing staff of any additional shipments through courier so confirmation of receipt can be made by Termite Processing Staff the following morning.
  • Check and re-fill bottled water containers in Atrium and kitchen each morning and afternoon, and re-stock cups.
  • Move coffee to kitchen each afternoon from Atrium. Rinse and clean coffee pots.
  • Fold down patio umbrellas each evening.
  • Run errands as needed. Requires valid California driver’s license.
  • Other duties as assigned.
